An Exchange administrator is responsible for the maintenance and upkeep of a company’s email servers. The role is critical to keeping email communications running smoothly for an organization. As an Exchange administrator, you will be responsible for managing user accounts, monitoring email traffic, and ensuring the security of the email system.

When you are applying for an Exchange administrator position, you will be asked a variety of questions about your technical skills and experience. What are the most important skills for an Exchange administrator?

Example: “The most important skills for an Exchange administrator include communication, problem-solving and technical skills. Communication is important because I need to be able to clearly explain my ideas to coworkers and clients. Problem-solving skills allow me to solve issues quickly and efficiently, which is essential in this position. Finally, I need to have solid technical skills so I can troubleshoot problems with servers and databases.”

How would you troubleshoot a problem with a user’s mailbox?

This question is an opportunity to show your problem-solving skills and ability to work with users. You can answer this question by describing a specific situation in which you troubleshot a mailbox issue, the steps you took to resolve it and the result of your actions.

Example: “I would first check if there are any issues with the user’s Outlook client. If not, I would then check for any problems with the server or network connection. If these checks do not reveal anything, I will contact the user to find out more about their issue. This helps me determine whether the issue is related to the user’s account or something else. After resolving the issue, I will ensure that the user has access to their mailbox again.”

What is the difference between an active directory and an exchange server?

This question is a great way to test your knowledge of the two systems that are often used together. Your answer should include both definitions and how they differ from each other.

Example: “An active directory is a database system that stores information about users, computers, printers and other network resources. It also contains all the configuration settings for these resources. An exchange server is an application that provides messaging services such as email, calendars and contacts. The active directory and the exchange server work together to provide centralized management of user accounts and shared resources.”

Provide an example of when you would use a virtual server instead of a physical server.

This question is an opportunity to show your knowledge of the different types of servers and when you would use them. You can also mention that virtual servers are more cost-effective than physical servers, which may impress the interviewer if they’re looking for someone who can save their company money.

Example: “Virtual servers are a great option because they allow me to run multiple operating systems on one server. This means I don’t have to buy separate servers for each OS, which saves time and money. Virtual servers also reduce power consumption since they only turn on when needed. They’re also easier to maintain since I can access them remotely.”

If you had to migrate data from one data center to another, what steps would you take?

This question is a great way to test your knowledge of the migration process. You can answer this question by describing the steps you would take and how long it would take for each step.

Example: “I would first create a new database in the destination server, then I would export all data from the source server’s mailbox store into the newly created database on the destination server. Next, I would import the exported data into the target server’s mailbox store. Finally, I would remove the old database from the source server.”

What would you do if you were unable to resolve an issue with a user’s mailbox?

This question is an opportunity to show your problem-solving skills and ability to work with people. Your answer should include a step-by-step process for how you would troubleshoot the issue, communicate with the user and resolve the issue.

Example: “I would first check if there are any issues with the user’s Outlook client by running the test E-mail AutoConfiguration (EAC) tool. If I find that the Outlook client is working properly, then I will run the Test-OutlookConnectivity cmdlet in PowerShell to see if the mailbox can be accessed through PowerShell. If it cannot be accessed, then I will use the New-MailboxRepairRequest cmdlet to repair the mailbox. Once the mailbox has been repaired, I will restart the Outlook client and check if the mailbox is accessible. If it still isn’t accessible, then I will create another Repair Request.”

How well do you know the various versions of Exchange?

The interviewer may ask this question to assess your knowledge of the Exchange platform and how it has changed over time. Your answer should include a brief overview of each version, including when they were released and what features they included.

Example: “I have used all versions of Exchange since 2003, starting with Exchange 5.5. I find that each new version improves on the previous one by adding more functionality and streamlining processes. For example, in 2007, Microsoft released Exchange Server 2007, which was the first version to offer native 64-bit support. In 2010, they released Exchange Server 2010, which introduced the Managed Availability feature for monitoring server health and reducing downtime.”

Do you have experience working with cluster servers?

This question can help the interviewer determine your level of experience with Microsoft’s cluster servers. If you have worked with them in the past, share a specific example of how you used them to resolve an issue or challenge. If you haven’t worked with them before, you can explain why and what you would do if faced with this situation on the job.

Example: “I’ve worked with cluster servers in the past when I was helping my previous employer migrate from one server to another. The company had two separate clusters that needed to be combined into one. This process took several weeks because we had to ensure all data was properly migrated between the two servers. It also helped us identify any issues with our current system so we could fix them before moving forward.”

When is it appropriate to use an external email server?

This question can help the interviewer determine your knowledge of when to use an external email server and how to do so. Use examples from your experience that show you know when it’s appropriate to use an external email server and how to set one up.

Example: “External email servers are useful for organizations with multiple domains because they allow users to send emails between different domains without having to go through a third-party provider. In my last role, I used an external email server to connect our company domain to our partner’s domain. This allowed us to communicate directly with each other rather than going through a third party.”

We want to increase our server’s security. What protocols should you use to increase our security?

This question is a great way to test your knowledge of security protocols. You can answer this question by listing the protocols you would use and why they are important for increasing server security.

Example: “I would first implement TLS, which stands for Transport Layer Security. This protocol encrypts all data that passes between clients and servers. It also ensures that only authorized users can access the information on the server. I would then implement SSL, or Secure Sockets Layer, which is an encryption method used to protect sensitive data. Lastly, I would implement IPsec, or Internet Protocol Security, which uses authentication methods to ensure that only authorized computers can connect to the network.”

Describe your experience with PowerShell.

PowerShell is a scripting language that allows administrators to automate tasks and manage Exchange servers. Your interviewer may ask this question to determine your experience with PowerShell, as well as how you use it in your daily work. In your answer, try to include the level of expertise you have with PowerShell and any specific examples of when you used it to improve your job performance.

Example: “I’ve been using PowerShell for three years now, and I find it an extremely useful tool for managing Exchange servers. For example, one time my manager asked me to check on all of our mailboxes to see if they were set up correctly. Using PowerShell, I was able to run a script that checked each mailbox’s settings and found several that needed to be adjusted. This saved us from having to manually check every single mailbox.”

What makes you stand out from other candidates for this position?

Employers ask this question to learn more about your qualifications and how you can contribute to their company. Before your interview, make a list of three or four things that make you unique as an applicant. These could be specific skills, certifications or experiences that relate to the job description.

Example: “I have five years of experience working with Microsoft Exchange, which is one of the most important requirements for this role. I also have extensive knowledge of email security protocols and best practices. In my last position, I helped implement new policies to ensure our organization’s emails were secure. Which version of Exchange do you prefer and why?

This allows me to check all aspects of the system, including storage queues, transport queues and mailbox stores. It also helps me identify any issues that may have developed since my last maintenance session.”

There is a problem with the hardware that is preventing users from accessing their mailboxes. What do you do?
