How Do You Calculate Gross Pay? Hourly & Salaried

Gross pay is your total earnings before taxes and other deductions are subtracted. For hourly workers, you calculate it by multiplying your hourly rate by the number of hours worked, then adding any overtime. For salaried workers, you divide your annual salary by the number of pay periods in the year. Either way, gross pay also includes bonuses, commissions, tips, and other compensation you earned during that pay period.

Gross Pay for Hourly Workers

The basic formula is straightforward: hourly rate multiplied by hours worked equals gross pay. If you earn $20 per hour and work 38 hours in a week, your gross pay for that week is $760.

Where it gets slightly more involved is when you work overtime. Under the Fair Labor Standards Act, non-exempt employees must receive at least one and a half times their regular hourly rate for every hour worked beyond 40 in a single workweek. A workweek is a fixed period of 168 consecutive hours (seven days), and your employer cannot average hours across two or more weeks to avoid paying overtime.

Here’s how the math works with overtime. Say you earn $20 per hour and work 46 hours in one week:

  • Regular pay: 40 hours x $20 = $800
  • Overtime pay: 6 hours x $30 (which is $20 x 1.5) = $180
  • Gross pay for the week: $800 + $180 = $980

One common misconception: federal law does not require extra pay simply because you work on a Saturday, Sunday, or holiday. Overtime kicks in only when you exceed 40 hours in the workweek, regardless of which days you worked. Some employers do offer premium pay for weekends or holidays, but that’s a company policy, not a legal requirement.

Gross Pay for Salaried Workers

If you earn a fixed annual salary, your gross pay per pay period is your annual salary divided by the number of pay periods in the year. The most common pay schedules break down like this:

  • Weekly (52 pay periods): $52,000 / 52 = $1,000 per paycheck
  • Biweekly (26 pay periods): $52,000 / 26 = $2,000 per paycheck
  • Semimonthly (24 pay periods): $52,000 / 24 = $2,166.67 per paycheck
  • Monthly (12 pay periods): $52,000 / 12 = $4,333.33 per paycheck

If you ever need to figure out your equivalent hourly rate from a salary, divide the annual salary by the total hours you work in a year. For a standard 40-hour week, that’s 2,080 hours (40 x 52). A $50,000 salary works out to roughly $24.04 per hour.

What Counts as Part of Gross Pay

Gross pay is more than just your base wages or salary. The IRS requires you to include virtually everything you receive as payment for your work. That means your gross pay figure should reflect all of the following when they apply:

  • Commissions and tips: Whether you receive sales commissions, advance commissions for future work, or cash and credit card tips, all of it is part of gross pay in the period you receive it.
  • Bonuses and awards: Cash bonuses, performance awards, and even non-cash prizes (valued at their fair market value) count as gross pay.
  • Overtime and premium pay: Any time-and-a-half, double-time, or shift differential pay adds to your gross total.
  • Sick pay: Pay you receive from your employer while sick or injured is treated as wages and included in gross pay.
  • Severance pay: Lump-sum payments you receive when your employment ends count as gross pay.
  • Certain fringe benefits: Employer-provided perks that have a taxable cash value, like personal use of a company vehicle, are included in gross pay for tax purposes.

If your employer pays your share of Social Security and Medicare taxes on your behalf (rather than withholding them from your check), that tax amount also gets added to your reported gross wages.

Gross Pay vs. Net Pay

Gross pay is your starting number. Net pay, sometimes called take-home pay, is what actually lands in your bank account after deductions. Those deductions typically include federal income tax withholding, Social Security tax, Medicare tax, state and local income taxes (where applicable), and any voluntary deductions like health insurance premiums, retirement plan contributions, or union dues.

Your pay stub will usually show gross pay at the top, list each deduction line by line, and show net pay at the bottom. Understanding your gross pay matters because it’s the figure used to determine your tax bracket, your eligibility for loans, and how much you can contribute to retirement accounts. When a lender or landlord asks for proof of income, they typically want to see your gross figures.

Calculating Gross Pay for a Full Year

To find your annual gross pay, the approach depends on how you’re paid. Salaried workers can simply use their stated annual salary, then add any bonuses, commissions, or other compensation received during the year. Hourly workers need to multiply their hourly rate by the total hours worked over the year, including overtime at the higher rate.

For an hourly worker with a consistent schedule, the shorthand formula works well: hourly rate x hours per week x 52. Someone earning $25 per hour at 40 hours per week has an annual gross pay of $52,000 before any overtime or additional compensation. If your hours vary week to week, the most accurate method is to add up gross pay from each individual pay stub across the year, or look at the year-to-date gross figure on your final pay stub of December.

Your W-2 form, which your employer issues each January, shows your total gross wages for the prior year in Box 1. That number reflects everything: regular pay, overtime, bonuses, taxable fringe benefits, and other compensation. It’s the most reliable single source for your annual gross pay.
