How to Add a Person to a Facebook Business Page

Managing a business presence on Facebook often requires adding team members to a business page. The process has become more complex due to the platform’s shift to the New Pages Experience and the centralization of tools within the Meta Business Suite. Understanding the current access structure is necessary for successful team management, allowing page owners to delegate responsibilities while maintaining security. These new systems prioritize granular permissions, moving away from older, broader role types.

Understanding the Different Levels of Access

The current access model for pages using the New Pages Experience is divided into two categories: Facebook Access and Task Access. This structure replaces the older, single-tier system of roles with more defined permission sets.

Facebook Access allows a person to switch into the page and manage it directly on Facebook, similar to managing a personal profile. This access type has two levels: Full Control and Partial Control. Full Control grants the highest administrative authority, allowing the user to manage page settings, assign new roles, delete the page, and manage all content and ads.

Partial Control allows the user to manage content, messages, and insights, but restricts high-level actions like managing access permissions or deleting the page. Task Access is designed for individuals who manage the page through external tools like Meta Business Suite or Ads Manager. Task Access allows specific permissions, such as managing content or running ads, without allowing the user to switch into the page profile on Facebook.

Legacy pages that have not yet migrated still use Classic Page roles, including Admin, Editor, Moderator, Advertiser, and Analyst. These older roles are less flexible, as Admin has supreme control and other roles have fixed capabilities. Most pages are now automatically shifted to the New Pages Experience model.

Preparing to Add a New Team Member

Before initiating the access invitation, ensure certain prerequisites are met. The individual you wish to add must have an active personal Facebook profile, as all page access is linked to an existing user account.

The current page administrator must possess Full Control to successfully grant access to a new team member, as only this level of permission allows for managing other people’s access. The page must also be published and not in an unpublished draft state.

Step-by-Step: Adding People to the Page Using the New Interface

The most common and current method for adding a team member involves navigating through the Meta Business Suite. First, ensure you are switched to the correct business page profile and navigate to the settings area.

From the Settings menu, locate the “Page Access” or “New Pages Experience” section, which displays all current users. Select the “Add New” button under the section for People with Facebook access. After reviewing the prompt explaining the difference between Full Control and Task Access, click “Next.”

Search for the person by typing their name or email address, which must correspond to their personal Facebook profile. Select the correct profile and choose the appropriate access level. Carefully select or deselect the “Allow this person to have full control” toggle. Toggling on Full Control allows them to manage access, while leaving it off restricts them to managing content, messages, and ads.

Click “Give Access,” and you will be prompted to re-enter your Facebook password for security verification. The system sends an invitation to the specified person, who must accept it within 31 days before it expires. The new team member must click to accept the invitation to finalize their access to the page.

Managing Legacy Roles and Business Manager Access

Pages that have not yet been converted to the New Pages Experience must use the older method of assigning legacy roles through the Classic Page settings. Administrators can navigate to Page Settings and select the “Page Roles” tab to assign roles like Editor or Moderator.

The Meta Business Manager (Business Settings) provides an alternate, centralized method for managing access across multiple business assets, which is frequently used by agencies and larger organizations. Within Business Settings, select “People” and click “Add” to invite a new user via email address. After adding the person to the Business Manager, you must assign the specific page and define their permission level for that asset, using options like “View” or “Manage.”

This method grants access through the Meta Business Suite interface rather than directly through the page’s settings. It is often preferred for maintaining a clear separation between a person’s individual Facebook profile and their business-related permissions. This is also where you add a “Partner” by entering the partner company’s Business ID to share assets, such as the page or ad account, with an external agency.

How to Remove or Change Existing Access

Managing existing team members is done within the same Page Access settings used for the initial invitation. Navigate to the “Page Access” section under the page settings in Meta Business Suite.

Under the “People with Facebook access” or “People with Task Access” headings, locate the name of the individual whose permissions need adjustment. Clicking the three-dot menu next to their name presents options to change their access level or completely remove them from the page.

To change a user’s permissions, select the appropriate option and adjust the toggles. If you are adjusting a user with Facebook Access, you may be prompted to re-enter your password to confirm the change. To revoke access completely, select the “Remove” option and confirm the action, which instantly severs the individual’s ability to manage the page.

Troubleshooting and Common Problems

A frequent issue is the invited person not receiving or finding the invitation. Invitations for Page Access are valid for 31 days and expire if not accepted, requiring the administrator to resend the invite.

If the invited person does not appear in the search bar, a common solution is for that person to first follow or like the business page from their personal profile. This action establishes a connection that makes their profile visible in the search results.

The system requiring the administrator to re-enter their password before granting Full Control access is a standard security protocol. This verifies the identity of the person making high-level changes. If a person is unable to accept an invitation, they should check their Facebook notifications, the email associated with their personal profile, and ensure they are logged into the correct personal account.
