What Is Calendly.com and How Does It Work?

Calendly.com is an online scheduling platform that lets people book meetings with you without the back-and-forth emails. You set your available hours, share a link, and anyone with that link can pick a time that works for both of you. The platform syncs with your existing calendar so it only shows open slots, and it automatically adds confirmed meetings to both parties’ calendars.

How Calendly Works

The basic idea is simple. You connect your Google, Outlook, or Exchange calendar to Calendly, then define when you’re available for meetings. Calendly creates a personalized booking page with a link you can share by email, embed on a website, or drop into a social media profile. When someone clicks the link, they see only the time slots you’ve marked as open. They pick one, and the meeting lands on both calendars instantly.

You can create different “event types” for different purposes. A freelance consultant might set up a 15-minute intro call, a 30-minute strategy session, and a 60-minute deep-dive workshop, each with its own link and its own availability rules. You can also add buffer time between meetings so you’re not jumping from one call to the next, and cap the total number of meetings you’ll take in a day.

Video Conferencing and Integrations

Calendly connects natively with five video conferencing platforms: Zoom, Google Meet, Microsoft Teams, GoTo Meeting, and Webex. When you enable one of these, every booked meeting automatically generates a unique video link and includes it in the calendar invite. Neither you nor the person booking needs to create the link manually.

Beyond video, paid plans integrate with tools like HubSpot, Mailchimp, Zapier, Stripe, and PayPal. The Stripe and PayPal connections let you collect payment at the time of booking, which is useful if you charge for consultations, coaching sessions, or classes. The CRM and marketing integrations push meeting data into your existing workflows so you don’t have to copy contact details between platforms.

Automated Reminders and Follow-Ups

Calendly’s “Workflows” feature lets you set up automatic email and text reminders before a meeting and follow-up messages after it ends. A typical setup might send a reminder 24 hours before the meeting and another one hour before, then follow up the next day with a thank-you note or a link to book the next session. These automations are available on Standard plans and above, not on the free tier.

Who Uses It

Calendly is popular across a wide range of use cases. Sales teams use it to let prospects self-book demo calls. Recruiters send scheduling links to candidates so interviews get on the calendar faster. Freelancers, therapists, tutors, and consultants use it as a lightweight booking system. On paid plans, teams can set up “round robin” scheduling, where incoming meeting requests get distributed automatically among team members based on availability or workload.

Free vs. Paid Plans

Calendly offers a permanently free tier, but it comes with meaningful limits. You get one event type (say, a single 30-minute meeting) and can connect only one calendar. There are no automated reminders, no payment collection, no integrations beyond the basic calendar sync, and no multi-person meeting types like group events or co-hosted calls.

The Standard plan costs $10 per seat per month when billed annually. It unlocks unlimited event types, up to six connected calendars, automated reminders and follow-ups, payment collection through Stripe and PayPal, custom branding on your booking page, the option to remove Calendly’s logo, and 24/7 chat support.

The Teams plan runs $16 per seat per month (billed annually) and adds features geared toward organizations: round robin meeting distribution, Salesforce integration, and team-level scheduling analytics. An Enterprise tier starts at $15,000 per year and includes single sign-on, dedicated account support, and connections to Microsoft Dynamics 365.

What the Person Booking Sees

If someone sends you a Calendly link, the experience on your end is straightforward. You click the link, see a calendar view of available dates, pick one, choose a time slot, and enter your name and email. You’ll get a calendar invite with all the details, including a video link if the host set one up. You don’t need a Calendly account to book a meeting. The whole process takes about 30 seconds.

Getting Started

Signing up requires only an email address. After creating an account, you connect your calendar, set your availability, customize your first event type, and copy your scheduling link. The free plan is enough to test whether the tool fits your workflow. If you find yourself needing more event types, automated reminders, or team features, upgrading happens inside your account settings with no data migration required.
