A UAN, or Universal Account Number, is a 12-digit number assigned by India’s Employees’ Provident Fund Organisation (EPFO) that serves as a permanent identity for your EPF (Employees’ Provident Fund) account. Unlike your Member ID, which changes every time you switch employers, your UAN stays the same throughout your career. It acts as an umbrella that links all your different Member IDs together, giving you a single point of access to your entire provident fund history.
How the UAN Works
Every time you join a new company that contributes to EPF, your employer generates a new Member ID for you. Without the UAN, each of these Member IDs would sit in isolation, making it difficult to track your total balance or transfer funds between accounts. The UAN solves this by linking every Member ID you’ve ever had under one number.
Think of the UAN as a master key. Your employer creates the Member ID, but the UAN ties all those IDs back to you as a single person. This means you can log in once and view contributions from every job you’ve held, check your combined balance, and file claims without chasing down old account details from previous employers.
Who Gets a UAN and How
Your employer typically generates your UAN when you join a company and get enrolled in EPF for the first time. It should appear on your pay slip or be shared with you during onboarding. If you already have a UAN from a previous job, you’re expected to share it (along with your KYC documents) with your new employer so they can link your new Member ID to your existing UAN rather than creating a duplicate.
If you’ve never received your UAN or need to generate one independently, you can do so through Aadhaar-based Face Authentication on the UMANG app. Download the app, navigate to EPFO Services, and select “UAN Allotment and Activation” under the face authentication options. The previous method of generating a UAN directly through the EPFO web portal has been discontinued.
Finding and Activating Your UAN
If you’ve forgotten your UAN, the EPFO member portal offers a “Know Your UAN” feature on its login page. You can retrieve it by entering basic personal details like your name, date of birth, and mobile number or Aadhaar number.
Activation is a separate step. A UAN that exists but hasn’t been activated won’t let you access online services. To activate it, use the UMANG app’s Aadhaar-based Face Authentication feature. Open the app, go to EPFO Services, and choose “UAN Activation” under the face authentication section. You’ll need your Aadhaar-linked mobile number handy for OTP verification. The web portal no longer supports activation directly.
If you run into trouble at any point, EPFO’s helpdesk is reachable at 14470.
KYC Requirements for Full Access
Having a UAN alone isn’t enough to file withdrawal claims or use online services. You need to complete your KYC (Know Your Customer) verification by linking key identity and financial documents to your UAN. Four things must be in place for full functionality:
- Active UAN: Your account must be activated, not just allotted.
- Aadhaar linked with an active mobile number: Required for OTP-based authentication whenever you log in or submit a request.
- Bank account linked and verified: This is the account where any withdrawal or transfer will be deposited.
- PAN linked: If your PAN isn’t linked and you withdraw funds before completing five years of EPF service, EPFO deducts 30% TDS (tax deducted at source) from the withdrawal amount. With PAN linked, TDS drops to 10% in the same scenario.
Your Aadhaar must be linked to your UAN before you can make any corrections to your profile, such as updating your name or date of birth. Keeping KYC current prevents claim rejections, which are one of the most common frustrations members face when trying to withdraw or transfer funds.
What You Can Do With Your UAN Online
Once your UAN is active and KYC is complete, you can handle most EPF tasks without visiting an EPFO office. Through the member portal, you can:
- View your Member Passbook: See month-by-month contributions from both you and your employer, along with interest earned.
- File online claims: Submit withdrawal, advance, or transfer requests through the Online Claim Submission system.
- Check claim status: Track whether a pending claim has been approved or if additional documents are needed.
- Register grievances: Use the EPFiGMS portal if a claim is delayed or an error needs resolution.
The portal also supports the “One Employee, One EPF Account” initiative, which helps consolidate multiple accounts if you’ve accumulated separate balances across different employers over the years.
How the UAN Works When You Change Jobs
Your UAN is portable. When you move to a new employer, you share your existing UAN with their HR or payroll team during onboarding. They then create a new Member ID for you under that same UAN, keeping your provident fund history intact.
If your previous employer’s contributions are sitting under an old Member ID that hasn’t been linked, you can request a transfer through the EPFO member portal. The system merges your old balance into your current active account, so you don’t lose any accumulated funds or interest. This is one of the biggest practical benefits of the UAN system: before it existed, employees frequently lost track of small EPF balances scattered across multiple former employers, sometimes forfeiting the money entirely.
Keep your UAN documented somewhere reliable. Unlike passwords or PINs, this number is meant to follow you for your entire working life, and having it accessible makes every job transition smoother.
