How to Access Your W-2 on ADP, Including Former Employees

If your employer uses ADP for payroll, your W-2 is typically available through the same employee portal where you view pay stubs. The exact steps depend on which ADP platform your company uses, but the general path is the same: log in, navigate to tax statements, and download your W-2 as a PDF. Here’s how to find it, troubleshoot access issues, and what to do if you’ve left the company.

Log In to Your ADP Portal

Start by going to the portal your employer set up for you. Most employees use one of these:

  • MyADP (my.adp.com): The most common self-service portal for employees at small and mid-size companies.
  • ADP Workforce Now (workforcenow.adp.com): Used by many mid-size and larger employers.
  • ADP iPay (ipay.adp.com): An older portal some companies still use for pay statements and tax forms.

If you’re not sure which one your company uses, check old emails from ADP or ask your HR or payroll department. Once you’re on the correct site, sign in with the username and password you use to view your pay stubs.

Navigate to Your W-2

After logging in, look for a section labeled “Pay” or “Pay & Taxes.” Within that section, you’ll find a tab or link for tax statements. In most ADP portals, the path looks something like this:

  • Click Pay or Pay & Taxes from the main menu or dashboard.
  • Select Tax Statements or Annual Statements.
  • Choose the tax year you need.
  • Click to view or download your W-2 as a PDF.

The exact wording varies slightly depending on your employer’s ADP configuration, but the structure is consistent. Your W-2 will display in a format you can print or save. When W-2s Become Available

Employers are legally required to provide your W-2 by January 31. For the 2025 tax year, because January 31, 2026 falls on a weekend, the official deadline extends to February 2, 2026. In practice, many employers using ADP release digital W-2s earlier. Electronic forms often appear in the portal between mid-January and late January, sometimes as early as January 12 to 16.

If it’s past early February and you still don’t see your W-2 in the portal, contact your employer’s payroll or HR department first. The IRS recommends following up with your employer if you haven’t received your W-2 by mid-February.

If You Need a Registration Code

First-time users need a registration code to create an ADP account. Only your employer can provide this code. ADP itself cannot give it to you. If you never set up your portal account or lost your registration details, reach out to your company’s payroll or HR department and ask for the self-service registration code. Once you have it, go to the login page for your portal, select the option to register as a new user, and follow the prompts to create your account.

If you already have an account but forgot your password, use the “Forgot Password” link on the login page. You’ll verify your identity through security questions or a code sent to your email or phone number on file.

Accessing Your W-2 on the ADP Mobile App

The ADP Mobile Solutions app (available for iOS and Android) gives you the same access to tax documents as the desktop portal. After downloading the app and signing in with your existing credentials, tap on the “Pay” section from the home screen, then look for tax statements. You can view your W-2 directly on your phone and save or share the PDF from there. The mobile app is especially useful if you need quick access during tax season and don’t have a computer handy.

If You’re a Former Employee

This is where things get tricky. Some employers keep your ADP portal access active after you leave, and some don’t. If your account is still active, you can log in and download your W-2 using the same steps as a current employee.

If your former employer has deactivated your account, ADP cannot provide your W-2 directly. You’ll need to contact your former company’s HR or payroll department and request a copy. They’re still legally required to send you a W-2 for any year you worked there, regardless of your employment status. If the company has closed or you can’t reach anyone, you can contact the IRS at 800-829-1040 and request a substitute W-2 using Form 4852, which lets you estimate your wages and withholdings based on your final pay stub.

Troubleshooting Common Access Problems

If you can log in but don’t see a W-2, the most likely explanation is timing. Your employer may not have finalized payroll for the year yet, especially if you’re checking before mid-January. Give it until the end of January before escalating.

If the tax statements section exists but shows no documents, your employer may not have opted into electronic W-2 delivery through ADP. In that case, you’ll receive a paper copy in the mail. Some employers require you to explicitly consent to electronic delivery before digital W-2s appear in your portal. Check with HR to confirm whether you’re set up for electronic access.

If you’re locked out of your account entirely, repeated failed login attempts may have triggered a security lockout. Wait 15 to 30 minutes and try again, or use the password reset option. For persistent issues, your HR department can contact ADP on your behalf to unlock your account or reissue access credentials.
